# Alerts

Understand alerts and highlighted fields in the Sales log.

Alerts help you spot deal information that needs attention. An alert rule watches for conditions you choose and highlights a column when a deal matches.

For example, you could highlight the VIN column when a VIN is missing, with a message explaining what needs to be checked.

## Review a highlighted field

In the **Sales log**, hover over a highlighted field to read its alert message. Review the deal’s details before changing anything.

```alert-example
missing-vin
```

Where your access allows editing, update the information directly in the table or open the [deal page](/docs/deal-page-overview). A rule stops matching when the deal no longer meets its conditions.

The carry-over and unscheduled section colors identify where a deal belongs in the table. Alert highlights identify fields matching an alert rule. See [Find and filter deals](/docs/sales-log-find-and-filter-deals) for those sections.

## Open the Alerts page

Open the **Sales log** through the **workspace navigation**, or open the **Command Center** using the Autopilot button in the bottom-right corner, search for **Sales log** and select it.

In the Sales log, open **Table controls** and select **Manage alerts** to go to the **Alerts** page.

The Alerts page groups matching deals by alert. Use **Search alerts…** to find a customer, vehicle, reference or salesperson. Select a deal number to open that deal, or use the available editing action where your access allows it.

Select **Sales log** at the top to return to the table. If there are no alerts, the active rules have not found any matching deals within the information you can see.

## Create an alert rule

On the **Alerts** page, select **Manage alerts**, then **New alert**.

1. Under **Highlight this column**, choose the field you want to draw attention to.
2. Add a condition: choose the field to check, the comparison and a value where required.
3. Use **Add condition** if the rule needs more than one check.
4. Enter **Tooltip on hover** text explaining why the field is highlighted or what someone should review.
5. Choose a **Colour** for the highlight.
6. Choose the alert’s **Visibility**, then select **Save alert**.

The field you highlight can be different from the fields checked by the conditions. For example, a rule can check several details but highlight the one you want someone to review first.

## Match all or any conditions

When you add more than one condition, choose how they work together:

| Setting | When the alert matches |
| --- | --- |
| **all — AND** | Every condition is true. |
| **any — OR** | At least one condition is true. |

Use **all** for a specific combination of circumstances. Use **any** when any one of several conditions should draw attention to the deal.

## Choose personal or shared alerts

Under **Visibility**, choose:

- **Only me** for an alert that is personal to you.
- **Shared** for an alert shared with the dealership, where your access allows it.

Sharing and managing shared alerts require permission to edit dealership settings. Sharing an alert does not give someone access to deals or fields they could not otherwise see.

## Notify when an alert starts matching

Turn on **Notify on activation** if you want a small pop-up when an edit makes a deal start matching that rule.

This is useful when a change creates something that needs review. The pop-up includes a **View alerts** action to open the Alerts page.

## Edit or remove a rule

Open **Manage alerts** and select the rule you want to change. Update its conditions, message, color or visibility, then select **Save alert**.

You can remove a rule you no longer need. Removing the rule removes that alert definition; it does not delete or change the deal information.

The rules you can manage and the deal information you can review depend on your access.
