How deals flow in Autopilot
Follow a deal from its first write-up through drafts, approval, sale and delivery.
A deal starts with a write-up and develops as your team records the customer, vehicle and sale details. This guide explains the overall journey and points you to the practical guides for each step.
The normal flow is Write-up → Draft → Sold → Delivered. The deal page stays with the deal throughout that journey.
1. Start with a write-up
Open the Command Center from the Autopilot icon in the bottom-right corner and select New deal. Choose Quick, Customer or Full depending on the information you want to record.
The write-up is the form you use to capture the deal. Saving records that information and opens the deal page so you can continue working on it.
Read Create a deal for the write-up options and how to save.
2. Continue as a draft
A draft is a saved deal that hasn’t become a live sale yet. You can return to it, finish the information and work through the remaining checks.
The normal path out of drafts requires Customer signed, Deposit paid and Manager approved. Only record each check once that step has happened.
Read Understanding draft deals to find, edit and progress a draft.
3. Complete the approval requirements
Your dealership’s approval rules determine which information must be present before the deal can move forward. If something required is missing, Autopilot identifies what needs completing.
An authorised manager reviews the deal and records Manager approved once it is ready.
When the three normal checks and the required information are complete, the draft becomes a live sale. An authorised manager can use Mark all done & graduate to record all three completed steps together; required information checks still apply.
Read Approval rules for what the rules do and how managers adjust them.
4. Work on the sold deal
Once the deal becomes Sold, it leaves drafts and appears in the Sales log and Pipeline. Your team can continue working on the sale and preparing for delivery.
The deal page brings together the information and actions for that individual sale. The Sales log gives you a view across sales, while Pipeline helps you follow the work moving towards delivery.
Guides to the deal page, sold deals and the Sales log will be added here as they’re written.
5. Complete delivery
Continue recording the information and completing the work your dealership needs for handover. When the customer has the vehicle and the deal is ready to close, mark it Delivered.
The dealership can set a separate set of required information for Delivered. If required details are missing, complete them before trying again.
A guide to managing a deal through delivery will be added here.
If a sale doesn’t go ahead
Cancel the deal and record why. Depending on your permissions, a manager may need to confirm the cancellation. The deal’s history is kept.
Read Cancel a deal for the steps and manager review process.
