Rebates
Review rebates and promotion support, update rebate status and track DMS completion.
Use the Rebates Workbench to review deal rebates and promotion support, track rebate status and record which claims you have completed in your dealership management system (DMS).
Open the Rebates Workbench
- Select Home in the main navigation.
- Scroll within the left sidebar to Workbenches.
- Select Rebates.
You can also open the Command Center from the Autopilot button in the bottom-right corner, search for Rebates and select it. The Command Center is available wherever you are in the workspace.
If the sidebar is collapsed, select Expand sidebar first. See the Workbenches overview for more about finding these views.
Find the rebates you need
The Workbench opens with DMS: Needs action selected, showing records that have not been marked completed in the DMS.
Use the controls above the list to narrow your work:
| Control | What it does |
|---|---|
| DMS | Choose Needs action, Completed or All rebates based on the DMS tick. |
| Rebate status | Show a particular rebate status, or choose Any status. |
| Group | Organise the list by Delivery month, Rebate status, Salesperson or Channel, or choose No grouping. |
| Salesperson | Narrow the list to a salesperson, when this filter is available to you. |
| Channel | Narrow the list to a sales channel when your dealership has more than one. |
Search using a customer, vehicle, VIN, stock number or deal number. Select Reset to return the controls to their starting settings.
The default grouping is Delivery month, based on each deal’s estimated delivery date. Expand a group to review its rows.
Read a rebate record
Each row brings together the deal, vehicle and rebate information available to your account:
- Deal rebate is the rebate amount entered on the deal.
- Reason shows the recorded rebate reason.
- Promo support shows rebate support from promotions on the deal.
- Total combines the deal rebate and promotion support.
- Rebate status, DMS and Completed at help you track follow-up.
Select the vehicle or customer to open the underlying deal. Use the deal to review its details before changing a rebate record.
Update rebate status
If you have permission to edit it, select the Rebate status field on a row and choose the appropriate value:
N/A, Pending, Claimed, Complete, Demo claim or Send to manufacturer.
The change saves when you select a value. If saving fails, an error appears and the field returns to its previous value.
Record DMS completion
The DMS tick is separate from Rebate status. For example, choosing Complete as the rebate status does not also tick the DMS field.
After completing the claim work in your DMS, tick DMS on the relevant row. Autopilot saves that marker and shows its completion time under Completed at. This control records your progress; complete the claim itself in your DMS.
If a record needs further DMS work, untick it. The completion time is cleared. Older completed records without a recorded timestamp show Earlier.
To keep the list steady while you work, changing a status or DMS tick does not immediately move the row out of its current filtered group. Change a filter or reload the page to refresh where it belongs.
If you cannot find or update a rebate
- Check the search text and filters. Switch DMS to All rebates to include completed records.
- Check collapsed groups. Delivery month uses estimated delivery dates, which may differ from the month you expected.
- Only deals with a positive combined rebate total appear in this view.
- Your access determines which deals and rebate fields you can see. Opening the Workbench requires access to both stock and deals; editing Rebate status and DMS depends on the permission for each field.
