Action items & alerts

Action items & alerts

What needs your attention, surfaced automatically. Snooze anything you can't handle right now.

Last updated 20 June 2026

Autopilot watches your deals for things that need a human's eyes — missing VINs, unsigned contracts, deliveries that haven't happened — and surfaces them as action items on the dashboard.

Different from notifications. Notifications fire once when something happens; action items keep showing up until the underlying thing is fixed (or you snooze them).

What produces action items

By default, Autopilot watches for:

  • Cold deals — deals written but not delivered after a configurable cutoff (e.g. 4 weeks).
  • Unsigned deals — pending customer or manager signature.
  • Sent back deals — manager rejected and salesperson hasn't revised yet.
  • Pending approval (managers only) — deals submitted for review.
  • Missing VINs on delivered deals.
  • Stale finance — finance pending for more than X days.
  • Missing rego on profiled deals.

The list of checks is configurable in Settings → Dealership → Alert rules — turn off the ones that don't apply, add custom ones.

How they appear

Action items live on the right side of the dashboard, grouped into stacks:

  • One stack per category (Unsigned, Cold, Sent back, etc.).
  • Within a stack, one row per affected deal.
  • The action label is bigger and bolder than the customer name — your eye should go to what needs doing, not whose deal it is.
  • Click any row to jump straight to the deal.

Splitting unsigned by signer

Unsigned deals are split into two separate stacks:

  • Awaiting customer signature — only shown to the salesperson on their own deals.
  • Awaiting manager signature — only shown to managers and owners.

So a salesperson never sees "this manager hasn't signed" rows on the manager's queue. You only see what's actually yours to act on.

Snoozing

Hover any row and click the Snooze button. Pick from:

  • 1 day
  • 3 days
  • 1 week
  • Until next month
  • Custom date

Snoozes wake at 6am of the target day — so things reappear in the morning, not overnight.

A small "3 snoozed · view" footer appears at the bottom of the action panel. Click it to see what you've snoozed and unsnooze anything early.

Custom alert rules

You can build your own rules in Settings → Dealership → Alert rules → New rule. A rule has:

  • Condition — a deal column comparison (e.g. "VIN is empty AND delivery date is within 7 days").
  • Severity — how urgent (changes the colour).
  • Audience — who sees it (salesperson on their own deals / managers / owners).

Common custom rules:

  • "Delivery date is in the past but not marked delivered" — chasing missed handovers.
  • "Trade-in value is greater than $30,000 but no trade-in inspection signed" — risk control.
  • "Deal date is more than 14 days ago and finance status is still pending" — chase your finance broker.

Notifications vs action items

Notifications are one-shot — they fire when an event happens (e.g. "your deal was approved"). Action items are persistent — they stay until the thing is fixed.

You can configure which events fire notifications in Settings → Notifications. Action items are managed separately in alert rules.
