Incoming stock
Track ordered vehicles, expected arrivals, and which deals they're earmarked for.
If you order vehicles in advance — most franchise dealers do — Autopilot's stock module tracks every order from the day it's raised until the car arrives, gets stocked in, and gets matched to a customer.
Open it from Stock in the sidebar.
The two states
A vehicle in the system is in one of two states:
- On order — placed with the manufacturer, not yet at the dealership.
- Stocked in — physically on the lot.
The toggle between them is one click.
Adding orders
Three ways:
- Manual entry — click Add order, fill in vehicle, ETA, cost, sales channel, quantity. Use this for one-offs.
- Spreadsheet import — drop a CSV with brand, model code, cost, ETA month columns. Good for monthly allocations from the importer. See Importing stock.
- From a deal — when you write a deal for a vehicle that hasn't arrived, you can flag it "vehicle to order" and Autopilot creates the matching order automatically.
The Incoming Orders table
Stock → On order.
Columns: vehicle (make/model/colour), order date, ETA, quantity, cost. All inline-editable.
Right-click any row to:
- Assign to a deal (matches it with a pending deal).
- Mark stocked-in (moves it to the Stocked tab).
- Delete (only if not assigned to a deal).
Stocked-In table
Stock → Stocked.
Same columns, plus assigned customer/deal. Right-click to:
- Toggle back to "on order" (if you marked it stocked-in by mistake).
- Open the assigned deal.
- Reassign to a different deal.
The Accounts Report
Stock → Report.
Designed for the accounts team — gives a per-month breakdown of:
- Number of vehicles ordered.
- Total cost (what you owe the importer).
- Assigned vs unassigned value (i.e. how much is already pre-sold vs sitting on speculation).
- Per-brand split (stacked bar chart).
You can export it to CSV or send a read-only link to your accountant.
Pre-assigning to deals
When a customer wants a specific incoming car, click Assign to deal on the order row and pick the deal. The deal then knows it has a vehicle inbound — it'll show up in the Need to Find column of the pipeline and progress to In Transit automatically as the order's deal progress updates.
Salesperson visibility
Managers control whether salespeople can see the stock module:
- Hidden from salespeople (default) — only managers and owners see Stock.
- Visible — salespeople can see what's coming and which orders are unassigned, useful for floor selling.
- Visible, only their own assignments — they can only see orders already assigned to their deals.
Set it in Settings → Dealership → Stock visibility.
Forecasting (deferred)
Asking "how many should I order next month?" is a v2 feature — there's a planned forecaster that compares sold-to-date (excluding carry-overs) against on-order to flag ordering gaps. Until then, the Accounts Report is the closest thing — eyeball "assigned vs unassigned" per month.
