Managing your team
Invites, role changes, deactivating people who leave, channel exclusions.
Day-to-day team admin lives at Settings → Team. This article covers the operational stuff — separate from how roles & permissions work in principle.
The team page
You'll see two sections:
- Members — everyone currently active.
- Pending invites — invites sent but not yet accepted.
Sending an invite
Click Invite member. Enter:
- Email.
- Role (Owner / Manager / Salesperson / your custom roles).
- Optional message (appears in the invite email).
Send. They get an email with a link. If they already have an Autopilot account, the invite auto-accepts on next login — no link click needed.
Pending invite controls
For each pending invite:
- Resend — fires a fresh email (useful if they say they didn't get the first one).
- Revoke — cancels the invite. Once revoked, the link no longer works.
- Change role before accept — pick a different role, no need to revoke and re-send.
Limits:
- 25 pending invites at a time per dealership.
- 7-day expiry on each invite.
- One pending invite per email — a new one revokes the previous.
Changing a member's role
Click any member → Change role. Pick the new role. Save. They see the new role on their next page load.
If you demote yourself accidentally — turning yourself from Manager to Salesperson — only an Owner can promote you back. Owners can never accidentally demote themselves; the role dropdown excludes "Owner" for the only Owner.
Deactivating someone
When a member leaves, deactivate them — don't delete them.
Click the member → Deactivate. They lose access immediately. Their deal history stays attached to their name. They appear in the team list with a faded "Inactive" badge.
If they come back, click Reactivate — they regain access with the same role they had before.
There's no permanent delete in the UI. Deal history would orphan if we removed the user record entirely.
Sales channel exclusions
Click any member → Sales channels. Tick the channels they're excluded from. Save.
From then on, the excluded channels are filtered out of their sales log, pipeline, reports, and targets. They won't even know those deals exist.
Use this for:
- Used-car salespeople who shouldn't see new-car finance numbers.
- A finance manager who only handles one brand.
- A regional manager who covers two channels but not the third.
Selling vs non-selling members
Each member has a selling status flag. It controls whether they appear:
- On the leaderboard (selling members only).
- In target-setting (you only set targets for selling members).
- In the salesperson dropdown on the deal form.
Non-selling members (managers who don't write deals, accounts staff, GMs) are full team members but don't show up in performance UI.
Set this from the member's detail panel.
Owner transfer
Only the current Owner can transfer ownership.
Settings → Dealership → Transfer ownership.
Pick a current member to promote. They become Owner; you become Manager (you don't lose access, just the special Owner permissions). The transfer is one-way and immediate.
Make sure the new Owner has MFA set up before you transfer. If they then lose their account, only Autopilot support can reset Ownership — and that's a slow recovery process.
Audit log
Every team change (invite sent, role changed, member deactivated) appears in the audit log, visible to Owners. Useful for "wait, who promoted that salesperson to Manager last month?".
